Here are the commitments we need from Parents/Helpers/Volunteers
The commitments we need are defined below. There are Meet-Specific Jobs and Overall Summer Jobs or jobs that are beneficial if we have the same person doing them more than once. Parents are required to time once for each child they have on our team. If you can, please sign up for more than your required volunteer responsibilities so we have enough to help out with all of the jobs needed. We have OVER 200 KIDS on the team this season! If grandparents, older siblings, or anyone else in the family wants to help, please sign them up for one of the jobs.
Description of the commitments we need below.
MEET SPECIFIC JOBS
• Timers: Every family is required to time once for every athlete you have in your household. We have over 200 swimmers/divers! If you have two swimmers, your family can help by taking TWO timing slots at 1 meet or 1 timing slot at TWO meets. Wouldn’t it be great to have all the slots filled before the first time trial? Grandparents, siblings and friends can all help time!
• Each Time Trial/Meet has a unique sign up link. As you sign up your athlete to attend, don’t forget to click and sign yourself up to time!
• Home Meet Treats (9-12 people): We’d love to end each meet with a frozen treat to pass out as families leave and have help bringing water to the timers. Commitment: 4 people bring 3-4 dozen frozen treats and distribute + 1 helper for a cooler with water bottles and ice.
• Announcer (1): Keep the meet/time trial moving by announcing each event.
OVERALL SUMMER JOBS – SEASON HELPERS
• Data Entry (3) – We’d love to have 3 trained Data Entry helpers, who can take turns covering the Time Trials and Swim Meets. Training provided, no prior experience required. Please sign up for at least 3 meets. Estimated Time: 3 hrs per meet, 3 meets/time trials
• Head Timer (3 people) – Head Timers will check in and train all the timers for the session, help recruit back up timers as needed, and work as a relief timer. With 3 volunteers, please sign up for the meet/time trial you can cover. (3 time trials + 3 home meets). Estimated time: 3 hrs/meet, 2-3 meets.
• Team Breakfast Committee(10 people)/Chair(1) – Helpers are needed to coordinate, set up and run the Team Breakfast, including those who can supplement the club breakfast with a few additional items. The Team Breakfast will be Friday, June 19th at 8:30 am and includes a Team Photo, T-shirt distribution, and games. Estimated Time: 2-3 hours total
• Team Gear Helpers (3 people) – The team gear will need to be organized and distributed throughout the early summer including at the Team Breakfast. Sign up to help our Gear Chair and Coach Julie.
• Fun Friday Doughnut Dash (15-20 people) New this summer! The Coaches wanted to make Friday practices even more fun! We are hoping to have parents donate doughnuts for 3 of the Friday practices. Sign ups will be specific to each practice group (Gold, Silver Bronze). Please plan on bringing your doughnut donation before the end of your athlete’s practice. Estimated Time: 30 min. Dates: June 5, July 3, July 17
• Awards (3-6 people) Athletes love to be recognized! We need parents who can help with 1-2 batches of ribbons and Best Time Treats. The goal is to have that week’s awards ready to pass out by Fun Friday! Results and labels are typically available by noon the day after that week’s meet. Slots are listed by the Date After the Swim Meet. (Estimated Time: 1-2 hours per batch. All supplies (ribbons, labels and treats) to be provided to volunteers.
